Zela automatically creates a contact record whenever a caller provides their name and phone number during a call. There is nothing for you to set up or configure — as your agent answers calls and collects customer information, your contact list builds itself. Use the Contacts section of your dashboard to view your full customer base, review individual histories, and keep contact details up to date.

Contacts List

The Contacts page displays a table of every customer whose details Zela has captured. Each row gives you a quick summary of that customer’s relationship with your business. Click any row to open the full Contact Detail view for that customer.

Contact Detail View

Opening a contact record gives you the complete picture for that customer — their profile, every call they’ve made, and every booking associated with them.
1

Customer Profile

The contact’s full name, phone number, email address (if provided), and any notes you’ve added manually. This is the core profile Zela built from call data.
2

Call History Timeline

A chronological list of every call Zela has received from this contact, showing the date, duration, and outcome of each interaction. Click any call entry to jump directly to the full Call Detail view for that call.
3

Bookings

All appointments associated with this contact, listed with their date, service type, and status. Click any booking to open the full Booking Detail view.
Contact records are created automatically from call data — you don’t need to manually add customers. Zela builds and enriches these records every time a caller interacts with your agent.

Editing Contact Information

You can update any contact’s details directly from their profile page.
1

Open the contact record

Locate the contact in the Contacts List and click their row to open their detail view.
2

Click 'Edit Contact'

Select the Edit Contact button in the top-right corner of the profile.
3

Update the relevant fields

Edit the customer’s name, phone number, email address, or internal notes as needed. All fields are optional — update only what you need to change.
4

Save your changes

Click Save to apply the updates. Your changes are reflected immediately across all linked bookings and call records for this contact.
Editing a contact’s details in the Contacts section updates their profile only — it does not retroactively change the information recorded in individual call transcripts or booking records, which are kept as a permanent record of what was captured at the time.

Searching and Filtering

Find any contact quickly using the search bar at the top of the Contacts List.
Type a customer’s first name, last name, or full name into the search bar. Results update as you type and are not case-sensitive. Partial matches are supported — for example, searching “Smith” will return “John Smith” and “Sarah Smithfield.”
If you receive a call from an unknown number, search for that number in Contacts to check whether Zela has an existing record for that caller before you follow up.

Exporting Contacts

Export your contact list as a CSV file to import into your CRM, mailing tool, or any other business software.
1

Apply any filters (optional)

Use the search bar to narrow the list if you only need a subset of contacts. To export all contacts, leave the search blank.
2

Click 'Export'

Select the Export button at the top-right of the Contacts List.
3

Download the CSV file

Confirm CSV as the format and click Download. The export includes each contact’s name, phone number, email address, total calls, total bookings, and last call date.
Contact exports contain personal customer information including names and phone numbers. Store and use exported files responsibly, and follow your region’s data handling best practices. If you are unsure about your privacy obligations, consult a qualified legal or compliance adviser.
